Minutes of 2007 AGM

 

PANGBOURNE TENNIS CLUB AGM

  29TH NOVEMBER 2007

AT PANGBOURNE VILLAGE HALL

Attendees

Peter Lee, Hilary Pack, Alan Davies, Emily Davies, Jennifer Holmes, Sandra Wilkinson, John Morton, Matthew Gordon-Smith, Keith Nash.

Apologies

Apologies were received from Suzanne Gordon-Smith, Karin Walker, Anthony Jones, Sandra Pike.

Minutes of the 2006 AGM

These were accepted, with no matters arising.

Officers Reports

Hilary presented the Financial Statement for the year 2006/7, which showed a larger surplus than last year and a comfortable balance in the Building Society Account, which will now be transferred to the HSBC Bank in Pangbourne. Hilary mentioned that both deposit and current accounts had been set up and that there would be two paying in books, one of which she would keep and Suzanne could have the other to pay in the subscriptions. Hilary mentioned that she had a new stock of tennis balls. Members asked questions about the amount paid to the Bowls Club, the court maintenance item and subscriptions. The accounts were accepted and Hilary was thanked for looking after the Club’s finances over a number of years.

Sandra reported that both the Ladies A and Ladies B Teams had been runners-up in their Divisions in the Newbury League and so would be moving up to the next Divisions. As there was a lack of lady players, the Club would need to decide how many teams it fielded next summer. Sandra mentioned that she would like to step down as a Captain. The Men were fourth in Division 3, but it was hoped that they would do better this summer. A number of winter matches had been played.

Officers and Committee

Peter asked if anyone else would like to take over as Chairman and said that he was prepared to continue for another year, but members should consider a replacement then. Hilary would be replaced as Treasurer by Emily at a time to be agreed during the coming year and Keith stepped down as Secretary, with effect from 31st December 2007. Keith was thanked for being Secretary over the last few years and it was hoped that he would be able to return to playing tennis one day.

The following were elected to the Committee:

Chairman : Peter Lee

Treasurer : Hilary Pack

Secretary : Matthew Gordon-Smith (from 1st January 2008)

Web Master and Match Secretary: Sandra Wilkinson

Other Committee Members : Alan Davies and Emily Davies.

The Team Captains are : Sandra Wilkinson (Ladies A), Suzanne Gordon-Smith (Ladies B), Alan Davies (Mixed) and Brent Holloway (Mens).

Subscriptions

It was agreed to keep the subscriptions at the same level as last year.

Juniors

Jennifer was thanked for running very successful Juniors programmes over several years. Suzanne was thanked for taking on the organisation of the Juniors programme and the Membership role. Suzanne had arranged coaching with GDT in Caversham for four sessions on Tuesday evenings, three for Juniors and one for Adults at a price of £20 per hour for the coach and £8 per hour for an assistant, if the numbers required an assistant. Suzanne had advertised the sessions in the Pangbourne and Whitchurch magazines and would be contacting schools and parents. GDT had said that they would like to discuss matters of mutual interest and Sandra said that she had been in touch with them about the respective web sites.

Revenue Raising Events

Alan and Emily would discuss with Karin having a BBQ/Summer Tournament in her garden. It was suggested that they could organise a Tournament in June, with a picnic and raffle. Other ideas were a 24 hour tennis event, sponsored walks or involving the Rotary Club.

Courts Maintenance

Alan would drive this forward by approaching 2 or 3 contractors for estimates of the work and cost. The aim would be to re-surface at least the single court this year, probably in September. Keith had sent Hilary details of various grant giving bodies and had obtained web site details of reasonably local SAPCA contractors. Keith handed over his file containing these papers and the correspondence with Lee West, to Alan.

The Future of the Club

A good start had been made at this AGM, with younger members joining the Committee. Anything members could do to get more members playing at Club Play sessions, eg by encouraging Team Players to attend, would help encourage more people to join. The Club had very successful teams and Juniors programme, but would be more vibrant if it had more members. It was suggested that some Juniors could be encouraged to play on Sundays and that their parents should be encouraged to become members.

Any Other Business

Sandra agreed to circulate the email addresses of members to all members.

Sandra had received an Email from Ian Wheaton, a consultant, asking a number of questions about the Club. It was agreed that she should find out why he wanted to know, before deciding whether to answer them.

Suzanne was thanked for arranging an event at the Village Fete this year, which had attracted a lot of interest from children. It was hoped that we could do something at the Fete next year, as it helped to publicise the Club.

The meeting ended at 9pm.
